Perform diversified administrative and secretarial services to ensure the smooth operations of the office and support the Managing Director.

Office administrative duties include but are not limited to:

  • be the liaison person with external service providers to coordinate office cleaning, repairs, and periodic servicing and maintenance works
  • security, safety and emergency preparedness programs
  • food service and catering
  • mailroom service
  • office and pantry supplies and office printing
  • travel management service
  • office facility management and operations
  • office space planning and office fitting out activities
  • organise, coordinate internal and offsite events, meetings, townhalls, workshops
  • track and renew office equipment servicing and maintenance and be the custodian for service and maintenance agreements
  • greet and receive visitors
  • apply for and record-keep building turnstile cards (with office access)
  • coordinate visa application for travelling employees and organise visa forms and invitation letters for visiting colleagues from HQ
  • office key management
  • custodian for corporate and/or official documents (e.g. lease tenancy)
  • new hire logistics (new hire account/email creation, work station, desktop/laptop, phone, mobile phone, building and office access, etc)
  • own office processes and procedures and develop office forms when necessary
  • track, update and maintain meeting room calendars and bookings for availability and efficient use

Manage requisition of office services and supplies include but are not limited to:

  • collaborate with procurement for requisition of office consumables, services and equipment
  • manage the procurement process (end-to-end) from initiating requisition, defining scope of work, preparing six-point justification, obtaining authorisation and reviewing procurement paperwork, consulting with Legal for contract terms and conditions, etc
  • maintain an updated list of Preferred Supplier List (“PSL”)
  • monitor suppliers’ performance for service quality
  • ensure timely renewal of contract agreements
  • ensure goods and services are received complete with proper paperwork
  • verify all delivery orders, invoices and provide supporting documents to Finance to settle payment

Secretarial duties include but are not limited to:

  • Meeting and calendar management for the Managing Director
  • Manage business travel-related arrangement for the Managing Director and Senior Leadership (from ATC)
  • Monthly expense reporting and submission
  • Create, communicate, cascade written communication, information, announcement to and from multiple audiences within ATS and HQ (ATC)

Assigns, supervises and directs the work of office administrator

  • Bachelor Degree /Diploma in any discipline
  • At least 5 years of relevant working experience is prefered
  • Thorough knowledge of office management practices and executive secretarial duties
  • Prior experience with office space planning and fitting out and re-instatement is essential
  • Flexible, resourceful, has strong organizational skills and is capable of managing and prioritizing task
  • Possess strong interpersonal skills and the ability to communicate effectively with internal stakeholders and external customers
  • High level of professionalism and confidentiality
  • Good working knowledge of MS Office Suite is an advantage
